Your problem is very common with UPS. I have heard many others complain about this and I have also dealt with this issue. Unfortunately, when the driver scans the airway bill, the information about payment does not go through on it. That has to be done manually. When they upload his scanner back at the warehouse, no one is physically looking at your package and seeing that it was paid for. The would not see that until your paperwork reaches the billing dept. When the billing department matches up the paper work and sees that the shipment was prepaid by cheque, the uploaded information from the scanner has already been generated through the automated billing system. No one actually sees what you have put on the airway bill.
One thing you can try to do that will save your time of looking up the cheque number and giving the info to the UPS billing dept. is make a photocopy of the cheque before you give the package and way bill to the driver. Staple a copy of the cheque to the airway bill. This way when it goes through to the billing dept., they will see the cheque copy and automatically issue a credit to your account.
